Transaction Coordinator – Studio City, CA

Purpose of the position:

Manage key functions of the Leasing/Real Estate Team to ensure accuracy and flow of information on all transactions

Responsibilities include, but are not limited to:

  • Coordinate document gathering for acquisitions and dispositions; including maintaining checklists and ensuring of scanning all applicable documentation to Secure Box
  • Submit and follow-up with lender approval for leases, assignments, amendments and extensions
  • Sort, scan and file Lease documents
  • Run credit
  • Prepare approval terms for various deals; ensure package of documents are complete for execution
  • Track and maintain all documents prepared by ACF including ACLs; send out weekly leasing report
  • Maintain tenant correspondence on incoming issues such as assignments, renewals, extensions
  • Sort and distribute mail for executives
  • Open bank accounts for newly acquired and sold properties
  • Notarize
  • Assist with management of accuracy of information in VTS
  • Manage tenant improvement allowance requests; ensure all documentation is in order to process reimbursement
  • Estoppels & SNDAs: prepare cover letters, mail and track receipt of return notices

Skills/Requirements

  • 3 years plus- progressive administrative experience; preferably in commercial property management
  • High School diploma required; some college preferred
  • Lease Administration retail property management experience is required
  • Yardi Voyager experience a plus
  • Microsoft Office proficient
  • Computerized Phone system (Fonality a plus)
  • Detail-oriented
  • Quick learner
  • Excellent communication skills
  • Ability to multi-task
